Inviting new users, members or guests

As an administrator, you can invite new users to join the platform:

  • with an email invitation,

  • with an identifier,

  • with an invitation link.

If you're a group administrator and this has been authorized by an administrator, you can invite new users:

  • from the group settings.

If you're a member and this has been authorized by an administrator, you can invite new users:

  • from the user directory.

Inviting new users from the Administration

You're an administrator and wish to invite new users to join the platform.

To invite a member to join you, simply go to the left side menu bar of your platform and click on Administration. Select Manage users and click on + Invite at the top of the page.

Inviting a user by email

To add a new user to the platform, select New member user(s).

Fill in the contact information and define the groups you want him/her to belong to. Once you've completed the various fields, click on Add. The user will receive a link to create his account.

Bulk invite of member users

It's possible to invite several users at once. To do so, select the Bulk invite of member users option and fill in the Excel file template with the information of your future users

💡 Bulk invitations are limited to 500 invitations per Excel file.

If your number of invitations to send is over 500, we recommend sending them in multiple waves.

Inviting guests

If you want to invite a user with a limited access to the platform, select the option New guest user(s). This way, this user will only have access to the groups he's been invited to.

Inviting a user with an identifier

It's possible to invite users without an email address, in the same way that new users with an email address can be invited.

You've got the same 3 options:

  • the invitation of a new member user,

  • the bulk invite of member users,

  • the invitation of new guest users on the platform.

To invite a new user without an email address, select New user members, fill in the his/her contact information and define the groups you want him/her to belong to. Once you've completed the various fields, click Add.

You'll generate a code that is available from the Invitations without email tab of the Invite new users section.

Click See access code to display it. You'll just have to communicate it so the user will be able to fill it in when registering to the platform.

Bulk invite of member users

You can invite several users without an email address at once. To do so, proceed in the same way as with an email address by selecting the option Bulk invite of member users. An Excel file template will allow you to fill in the information of your future users.

💡 Bulk invitations are limited to 500 invitations per Excel file.

Inviting guests

If you want to invite a user with a limited access to the platform, select the option New guest user(s). This way, this user will only have access to the groups to which you have invited him/her.

Inviting a user with an invitation link

We recommend that you use this option if your users have trouble receiving our email invitations.

From the Administration, select the Authorisations section and activate the invitation link.

A link will appear. Simply copy this link and communicate it to the users concerned.

Be careful, if you deactivate the link, it will no longer be valid and the people who received this link will not be able to register. If you reactivate the option, a new link will be created.

NB: you can also allow users to register for themselves on the platform. You will have to authorize it from the administration.

Inviting new users when you're a group administrator

If authorized by an administrator, the group administrator can invite new members or new guests to join the platform from the group.

To do so, select the Users icon and choose to invite new members or guests.

You will then need to fill in an email address, a first and last name and select the groups you want him/her to join.

Inviting new users when you're a member

Platform members can invite new users to join the platform from the User directory, if authorized by the administrators.

To do so, simply select the Users icon located in the left side menu bar of the platform and click on +Invite.

You'll then just have to choose the role you wish to give to this new user and then invite him by entering an email address, a name, a first name and a group to which he can be integrated.

NB: if you don't see the +Invite button, only the platform administrators can invite new users. Please contact the administrators of your platform.

If you have the authorisations set by the platform administrator, you can also invite new users from the group by selecting the Users icon.

Can I invite users on the Standard and Premium plans?

It is possible to invite users on both plans and according to the authorisations which have been given by the administrator.

Good to know

  • If the administration has imposed a professional email domain to invite a member, then you'll only be able to invite users with one of the defined email domains.

  • The identifier of a user without email can be his phone number, his internal personnel number or his birthday.

  • It is important to personalize the invitation message that is sent because it explains the main objectives of the platform.
